Office & Facilities assistant / Receptionist (Full-time) (Amsterdam)


We are looking to recruit an Office & Facilities assistant / Receptionist (full-time) who is primarily responsible to ensure that guests and employees are welcomed to the office and that service requests are completed in a friendly, timely, proactive and efficient manner, while there is an efficient, productive and safe environment for its users. You are responsible to keep the office tidy. You will perform all activities in accordance with the highest standards in customer service and satisfaction. Our office is located 5 minutes from station Amsterdam Zuid.


As a subsidiary of PAO Gazprom, South Stream Transport B.V. is responsible for a safe, reliable and uninterrupted operation of the TurkStream Pipeline system.

The TurkStream Offshore Pipeline starts in Anapa, Russia, running over 900 kilometres through the Black Sea to the Turkish coast. The pipeline will help secure energy supplies to Turkey and South-Eastern Europe in a reliable and sustainable way. We have used state-of-the-art technology, materials and equipment, to safeguard the pipeline’s safe operation for many decades to come.


  • Answer telephone, screen and direct calls (switchboard);
  • Take and relay messages, provide information to callers;
  • Welcome guests entering the office (hand out visitor’s badges), direct persons to correct destination;
  • Ensure knowledge of staff movements and visitors in and out of the office;
  • Receive and store all orders;
  • Receive and sort and send mail, packages and deliveries;
  • Tidy and stock the front desk area, the meeting rooms, pantries and the kitchen;
  • Assist in organization and set up of meetings and catering;
  • Liaise with catering on banqueting requests;
  • Provide coffee/tea service for meetings; 
  • Order all kinds of office and kitchen supplies;
  • Serves as a resource for questions from customers and external service providers;
  • Communicate on office related matters;
  • Assist with internal office moves, prepare name signs;
  • General administrative and clerical support;
  • Participate in small projects;
  • May be responsible for on the job training of back up office & facilities assistants;
  • Part of the emergency response team;
  • Strictly observe the safety regulations;
  • Follow company policies and procedures;
  • Any other responsibilities that would be required to maintain effective operations of the Front Desk and smooth functioning of the Office and to provide company’s staff with general office assistance;
  • Perform other related duties as assigned.


  • At least 3 years of work experience as a Front Desk Officer or facility service coordinator or in a similar role within multinational companies;
  • MBO +;
  • Knowledge of Front Desk administrative and clerical procedures;
  • Knowledge of computers and relevant software applications: MS Office (Word, Excel, Power Point, Outlook);
  • Operational knowledge of printer, scanner, fax, internet etc.;
  • Excellent verbal and written communication skills;
  • Hospitality / client service background;
  • Service minded, maintain a positive and courteous attitude at all times;
  • Professional personal presentation;
  • Organizing and planning skills;
  • Can do attitude, takes initiative, work independently, hands on;
  • Attention to detail, strong sense of responsibility;
  • Proven ability to handle confidentiality;
  • Flexible, stress tolerance;
  • Enthusiastic, energetic and pleasant personality;
  • Fluent in Dutch and English verbal & written, any other language is an advantageous.
