Branch Assistant Turkey (Istanbul)


We are looking for a service-oriented and hands-on Branch Assistant. You will support the Branch Team in all administrative matters, including travel arrangements and reporting to management. The Branch Assistant plays a key role in ensuring the smooth functioning of a small but efficient Branch Team for the company. You will be reporting to the Head of Branch.


As a subsidiary of PAO Gazprom, South Stream Transport B.V. is responsible for the construction of the TurkStream Offshore Pipeline.

The TurkStream Offshore Pipeline will start in Anapa, Russia, running over 900 kilometres through the Black Sea to the Turkish coast. The pipeline will help secure energy supplies to Turkey and South-Eastern Europe in a reliable and sustainable way. The Project will use state-of-the-art technology, materials and equipment, to safeguard the pipeline’s safe operation for many decades to come.


  • Handle and book travel arrangements including taxi, hotel, visa and flights;
  • Provide general administrative and clerical support for the entire Branch Team such as preparation of memos, letters and documents (both English and Turkish);
  • Using of Document Management System (DMS). (Registration, loading and distribution of a correspondence documents);
  • Using of Business Travel Management System (BTMS). (Sending a leave request, booking flights, uploading a business reports) (Only for Branch Manager);
  • Written and verbal notifications to local Authorities as required by Project;
  • Providing support and assistance in BTMS to all team members;
  • Act as a translation coordinator and when necessary perform short translations;
  • To provide a logistic arrangements of the company vehicles. Drawing up the schedules of work for drivers;
  • Written and verbal notifications to local Authorities as required by Project;
  • Arrange meetings in Turkey (either in Branch or at suppliers and/or Authority offices) for Project team as requested;
  • Office management in communication with WindowIST and control of the monthly invoices;
  • Draw up a weekly report on the work of the branch;
  • Any other responsibilities that would be required to ensure proper assistance to all team members.


  • Associate Degree or BA in business administration, management, communications, marketing or other social science;
  • 3-4 years of relevant working experience as an administrative assistant/office manager;
  • Experience as a team assistant in international companies would be an asset;
  • Ability to professionally represent the Branch office;
  • Proficiency in general IT and relevant software applications: MS Office (Word, Excel, PowerPoint, Outlook);
  • Fluency in English and Turkish (both writing and verbal) is a must;
  • Ability to perform short EN-TR/TR-EN translations;
  • Ability to develop and maintain good relationship at all levels, be a strong team-worker;
  • Confident and able to work on own initiative;
  • Flexibility in working hours;
  • Strong communication skills;
  • Experience with working in multicultural environments
  • Residing in Istanbul.
